Welcome to University College Birmingham
The information below will help you prepare for enrolment and the start of your course.
Note: If you are a 'returning student' (you studied at University College Birmingham last year) and under the age of 19, you can complete your online enrolment and swipe your ID card at the start of the induction week, which will trigger the completion of your enrolment. Please note, you don’t need to attend enrolment in-person.
Step 1 – Complete your online registration
If you have been offered a place at University College Birmingham, you will be sent an email and text message from our Admissions team to complete your online registration. It is very important that you complete your online registration, as this is the first part of your enrolment.
If you have studied with us before, you may already be able to log in to the UCB Portal. Otherwise, you will need to set up your student account. The email you receive will provide you with your own unique link to do this if needed, and the text message will contain your University College Birmingham student ID, which you will need to register.
Uploading documents
Once you have completed your online registration, you have created your student dashboard. Now you need to log out and log back in in order to upload your documents. Make sure you upload ALL documents that are relevant to you, including:
- your chosen photo for ID (no Snapchat filters, please, let’s keep it professional!)
- your proof of ID – see below for the list of acceptable identity documents
- any residence evidence – e.g. your passport/residence documents, if relevant
- any evidence of your name change, if your name is now different from the name on the documentation you provide to us, e.g. deed poll document or marriage certificate. All our systems will use the name on your official documentation
This isn’t mandatory, but doing this now will save you a lot of time later!
Important - if you have not received your email or text message, call our Admissions team on 0121 214 2919 or complete our enquiry form here , and we will help you activate your account and complete your online registration.
Please make a note of your UCB student ID and your password. If you forget your password, you will need to email itsu@ucb.ac.uk stating;
- Your full name
- Your University College Birmingham student ID number
- Your address
- Your chosen course
Once you’ve registered, wait for your results to complete the second stage of your enrolment. If you need to update your contact details at any time, you can do so by accessing your student portal here.
Step 2 - Upload your results
Once you have your results, please upload your GCSE results onto your student dashboard within the UCB Portal. The academic team will assess your eligibility and confirm your enrolment.
To upload your results and any other supporting documents, you will need your UCB student ID and password created in Step 1. Once you have logged in, please navigate to the enrolment section of your dashboard and select the 'Documents' tab and then click 'Add file'. As soon as your image has been uploaded, it will automatically be saved.
You can view a video tutorial of these steps here. Please note, you don’t need to attend enrolment in-person.
What do I need to upload to your portal?
If you are aged between 16 and 18, please bring the following:
- Evidence of all of your current qualifications, including your GCSE results papers, or those showing your predicted grades. We cannot complete your enrolment without this information; we will need to see proof of your achieved grades to confirm your level of study.
- Proof of identity - Passport or Full Birth Certificate
If you are aged 19 and over, please bring the following:
- Evidence of all of your current qualifications, including your GCSE results papers - or those showing your predicted grades. We cannot complete your enrolment without this information; we will need to see proof of your achieved grades to confirm your level of study.
- Proof of identity
- Proof of household income, including evidence of any benefits you claim, if applicable.
- Your chosen method for paying your tuition fees, if applicable.
If you are paying your own fees, you can either pay in full at enrolment, or payment can be made in 4 equal instalments: instalments are due by the end of October, January, March and May.
Please check our fees and tuition page to see a full list of categories of people who are not expected to pay their tuition fees. If you do not fall into one of the listed categories, you will need to pay the tuition fees for your course.
Access our course fees document for a full list of college tuition fees.
If you are aged 19 and over on the first day of your course and are expected to pay for your fees, you may qualify for an Advanced Learner Loan. This is a non-means-tested loan available from the UK Government to pay the tuition fees of full level 3 qualifications (course exclusions apply**). The loan is paid directly to UCB to cover the cost of your tuition and does not have to be repaid until your income is over a certain amount (the ‘threshold’ amount). For more information on the Advanced Learner Loan, please visit www.gov.uk/advanced-learner-loan.
**The following courses are not eligible for an Advanced Learner Loan:
- CACHE Level 3 Award Health & Social Care
If you are aged between 16 and 18, please also bring the following:
- Proof of residency, e.g. passport, visa, residence permit (proof of residency must be valid and in date).
A few things to note
Do not email us your results - please upload your documents to your Student Dashboard
Even if you haven’t achieved the results you were hoping for, please still upload them so we can see if there is another course in our portfolio that we can offer you.
Congratulations!
Once your documents have been reviewed and we have checked that you are not required to pay fees (or confirmed your loan is in place, if you need a loan), you will officially be enrolled. All that’s left for you to do after this point is to collect your UCB student ID card during induction week.
If we require further information, we will contact you either by phone or email to discuss this with you. You may be asked to provide further evidence before your enrolment is considered complete.
