Step 1 – Complete your online registration

If you have been offered a place at University College Birmingham, you will be sent an email and text message from our Admissions team to complete your online registration. It is very important that you complete your online registration, as this is the first part of your enrolment.

If you have studied with us before, you may already be able to log in to the UCB Portal. Otherwise, you will need to set up your student account. The email you receive will provide you with your own unique link to do this if needed, and the text message will contain your University College Birmingham student ID, which you will need to register.

Uploading documents

Once you have completed your online registration, you have created your student dashboard. You now need to log out and log back in to upload your documents. Make sure you upload all documents that are relevant to you, including:

  • your chosen photo for ID – no Snapchat filters, please, let’s keep it professional!
  • your proof of ID – see below for the list of acceptable identity documents
  • any residence evidence, such as your passport or residence documents, if relevant
  • any evidence of your name change, if your name is now different from the name on the documentation you provide to us, such as a deed poll document or marriage certificate. All our systems will use the name on your official documentation.

This isn’t mandatory, but doing this now will save you a lot of time later!

Important: if you have not received your email or text message, call our Admissions team on 0121 214 2919 or complete our enquiry form here, and we will help you activate your account and complete your online registration.

Please make a note of your UCB student ID and your password. If you forget your password, you will need to email itsu@ucb.ac.uk stating: your full name, your University College Birmingham student ID number, your address and your chosen course.

Once you’ve registered, wait for your results to complete the second stage of your enrolment. If you need to update your contact details at any time, you can do so by accessing your student portal here.

Acceptable identity documentation – UK/EEA Nationals

  • British or EU passport
  • European Identity Card

If you do not have a passport, please upload your:

  • Full birth certificate

AND

  • Another form of photo ID, such as a driving licence or proof of age card*

*Please note that we may require additional evidence before we can complete your enrolment, such as proof of EUSS, if required.

Acceptable identity documentation – Non-UK/EEA Nationals

  • A non-UK/EEA passport

AND

  • Your Biometric Residence Permit (BRP)

OR

  • Visa document

OR

  • Home Office letter confirming your residency status in the UK

If you are an asylum seeker, please upload your Application Registration Card.

If you don’t have any documentation to confirm your immigration status in the UK, University College Birmingham will ask for your permission to request this information from the Home Office.

Step 2 – Upload your results

Once you have your results, please upload your GCSE results to your student dashboard within the UCB Portal. The academic team will assess your eligibility and confirm your enrolment.

To upload your results and any other supporting documents, you will need your UCB student ID and password created in Step 1. Once you have logged in, navigate to the enrolment section of your dashboard, select the Documents tab and then click Add file. As soon as your image has been uploaded, it will automatically be saved.

Please note, you don’t need to attend enrolment in person.

What do I need to upload to your portal?

If you are aged between 16 and 18, please bring the following:
  • Evidence of all of your current qualifications, including your GCSE results papers, or those showing your predicted grades. We cannot complete your enrolment without this information; we will need to see proof of your achieved grades to confirm your level of study.
  • Proof of identity - Passport or Full Birth Certificate
If you are aged 19 and over, please bring the following:
  • Evidence of all of your current qualifications, including your GCSE results papers - or those showing your predicted grades. We cannot complete your enrolment without this information; we will need to see proof of your achieved grades to confirm your level of study.
  • Proof of identity
  • Proof of household income, including evidence of any benefits you claim, if applicable.
  • Your chosen method for paying your tuition fees, if applicable.

If you are paying your own fees, you can either pay in full at enrolment, or payment can be made in 4 equal instalments: instalments are due by the end of October, January, March and May.

Please check our fees and tuition page to see a full list of categories of people who are not expected to pay their tuition fees. If you do not fall into one of the listed categories, you will need to pay the tuition fees for your course.

Access our course fees document for a full list of college tuition fees.

If you are aged 19 and over on the first day of your course and are expected to pay for your fees, you may qualify for an Advanced Learner Loan. This is a non-means-tested loan available from the UK Government to pay the tuition fees of full level 3 qualifications (course exclusions apply**). The loan is paid directly to UCB to cover the cost of your tuition and does not have to be repaid until your income is over a certain amount (the ‘threshold’ amount). For more information on the Advanced Learner Loan, please visit www.gov.uk/advanced-learner-loan.

**The following courses are not eligible for an Advanced Learner Loan:

  • CACHE Level 3 Award Health & Social Care
If you are aged between 16 and 18, please also bring the following:
  • Proof of residency, e.g. passport, visa, residence permit (proof of residency must be valid and in date).

A few things to note

  • Do not email us your results - please upload your documents to your Student Dashboard. Even if you haven’t achieved the results you hoped for, please still upload them so we can see whether there is another course in our portfolio we can offer you.
  • Please keep an eye on your emails AND your phone - we will call you to confirm your offer or discuss your options. Please answer your phone when we ring. This is how we will communicate with you during enrolment, so it’s important that you complete any required actions promptly to secure a place on your course.
  • If your results are lower than expected - we will suggest an alternative course in line with your grades. In most cases, this will still be in the subject area you’re interested in, but it may mean you need to start your studies at a lower level.

Step 3 - Collect your student ID

Once we have checked your results and your fee status, we will confirm your place on the course. To complete your enrolment, please visit us so we can issue your student ID and ensure you have everything you need before you start, including your induction timetable and any kit/uniform.

No, you should apply for only one course. However, if you change your mind about your chosen course, we can amend this for you at a later date. Please note you may need to have another interview.

What if I've changed my mind and don't want to enrol at University College Birmingham?

When can I enrol?

We will write to you with enrolment instructions over the summer. In the meantime, the information you need is available here.

The course has already started, can I still enrol?
