Welcome to UCB
Welcome to all of our new Undergraduate Home and EU Part time and Online students who are joining us in January 2019. The information below will help you prepare for enrolment and the start of your course.
Enrolment
If you have been offered a place at UCB, you will be sent an online enrolment email from December. You are asked to register online before your official enrolment date so that all your personal information is accurate and up to date before you attend, and that you have had time to read the terms and conditions and policies and privacy statements. This will mean that the actual enrolment day will run smoothly.
When is enrolment held?
Enrolment will take place on the 9th Floor Research Centre of Summer Row.
If you were not able to attend your enrolment appointment, we are still enrolling on the following days:
- Wednesday 23rd January - 10am to 12pm & 1pm - 3pm (all courses)
- Thursday 24th January - 10am to 12pm & 1pm - 3pm (all courses)
- Friday 25th January - 10am to 12pm & 1pm - 3pm (all courses)
(Returning students can enrol online via an email from UCB. If you have not received this, please email: enrolment@ucb.ac.uk)
How will I know when to attend?
We will send you an email and a text message to confirm the date and time of your enrolment, you will also receive a welcome email from our admissions team, which will contain all of your course-specific information.
We have a lot of students enrolling in January so please try and stick to your appointment time, wherever possible.
Your induction
Your induction is designed to give you the best possible start to your studies by providing you with essential information about the course you have chosen and UCB support services, should you need support at any time. This is also an ideal opportunity to meet with your lecturers and fellow students.

Important information
What do I need to bring?
You will need to bring:
- If you were born in the UK or EU, please bring your passport or your European Identity Card. If you were born in the UK and do not have a passport, please bring your birth certificate – we may also ask for additional evidence before we can complete your enrolment.
- If you were not born in the UK or EU, but have a British passport, please bring this to enrolment. If the passport is less than three years old, please also bring your previous passport (if this was not a British passport, also bring the evidence requested below in point 3).
- If you were not born in the UK or EU and do not have a British passport, please bring your non-UK passport, with either your biometric residency permit or Home Office letter confirming your residency status in the UK. If your current passport does not contain your residency status (which confirms your current ‘leave to remain’ in the UK), you must also bring the passport which contains this.
- If your leave to remain in the UK is dependent upon a family member, in addition to the information requested in point 3, please bring your family member’s passport, with either their biometric residency permit or Home Office letter confirming their residency status in the UK. Please also bring proof of your relationship to this person e.g. birth certificate or marriage certificate.
- If you are an asylum seeker, please bring your Application Registration Card with you.
Please note: If your name is now different to the one on the documentation above, you also need to bring evidence to support your name change e.g. marriage certificate, official deed poll document recorded at the Royal Courts of Justice or a change of name confirmation from a registered/qualified solicitor.
During enrolment it may occasionally be necessary for us to make checks with the Home Office, for which we will need your permission.
- Students with a conditional offer -
If you have a conditional offer, rather than an unconditional offer, you will need to provide the requested evidence before you can enrol. If you are unsure if you have any conditions to meet please email ptadmissions@ucb.ac.uk
What happens at enrolment?
On arrival at UCB you will go to the 9th floor Research Centre of our Summer Row building. You will be greeted by the Admissions team who will give you your enrolment form, providing you have completed your online enrolment prior to arriving at UCB. If you have a conditional offer, we will check the documentation you have brought to ensure it meets any outstanding requirements before progressing with your enrolment.
Your enrolment form will contain the information you gave us when you completed your online enrolment. Don’t worry if any of the details have changed, just change them on the form and we will update them on our student records system. It is really important that you complete your online enrolment prior to coming to UCB, if you have not already done so, please complete this as soon as possible. If you have lost the registration email we sent to you, please email ptadmissions@ucb.ac.uk and we will resend this to you.
Once you have your enrolment form, you will have your proof of identity copied. If you are unable to provide proof of identity, we will be unable to complete your enrolment (see the section What do I need to bring? for acceptable forms of ID).
Next, you will see our Fees Assessment staff, who will check your residency status and discuss your tuition fees with you. If you do not have your student loan approved, you will have the opportunity to discuss your Student Finance application with a member of our team.
Finally, you will have your photo taken and receive your student ID card. You are then officially a student at UCB.
Why do I need an ID card?
We require all students to have an ID card, which you use each time you enter the building, for security reasons. Please keep the card with you at all times and never give it to anyone else. Your ID card is valid for the whole time you are at UCB, regardless of the number of courses you take, so please keep it safe. You need your ID card to:
- Enter UCB premises
- Borrow books and other resources from the library
- Join the Guild of Students
- Use UCB sports facilities
- Gain entry to examination rooms
- Submit work for assessment
- Collect qualification certificates
If you lose your card, you can get a replacement from the 1st floor Finance Office at our Summer Row building. Replacement cards currently cost £5.
What if I can't attend enrolment?
If you are unable to attend enrolment, please let the Admissions team know as soon as possible so that we can make alternative arrangements for you, call 0121 604 1040 or email ptadmissions@ucb.ac.uk.
What if I've changed my mind and don't want to enrol at UCB?
If you have changed your mind and no longer wish to enrol at UCB you must let us know as soon as possible so we can offer your place to someone else. If you don’t turn up to enrolment and haven’t told us you’re not coming we will contact you to find out if you are still interested.
Phone and email reminders
If you miss your enrolment and we don’t hear from you, we will contact you by phone or email to find out whether you still intend to enrol. Please remember to let us know if you’ve changed mind or can’t make the enrolment date for your course, call 0121 604 1040 or email ptadmissions@ucb.ac.uk.
How do I gain support for my disability or learning need once I have enrolled?
If you have disclosed a disability or learning need on your application form, you will meet an Academic Support Worker (ASW) at your enrolment that will be able to go over the nature of support discussed at the informal meeting prior to your enrolment. The appropriate assistance can then be put into place for you at the beginning of your course.
How do I gain support with my Health and Wellbeing once I have enrolled?
If you have disclosed a mental health disability or a difficulty with your health or wellbeing on your application, you will have had the opportunity to meet with a member of the Health & Wellbeing team to ensure support is implemented for you at the beginning of your course.
UCB’s Health & Wellbeing Service is free and confidential for all UCB students. The on-campus nurse is available to provide you with practical advice and assistance regarding medical needs, and is available without an appointment on a drop-in basis. The nurse is based within the Student Services Unit, 7th Floor, Summer Row. You can contact the nurse via phone on 0121 604 1000 ext. 2296 or via email: collegenurse@ucb.ac.uk.
The service also provides mental health and wellbeing support via Counselling and advisory services. Counselling is a talking therapy which provides you with the opportunity and space for you to talk about anything that you are struggling with, regardless of whether it might be linked to your studies or a personal issue. The Mental Health and Wellbeing Adviser can provide support, advice and guidance to those experiencing a mental health or wellbeing difficulty, and can help you to identify your specific needs, provide practical support, and help you develop the appropriate coping strategies.
